The freelancer invoice format that gets you paid faster

A clear invoice is the fastest way to get paid. Here is a format that works for designers, developers, writers, marketers and consultants across India.

1. Header

Your logo or name, the word “Invoice” (or “Tax Invoice” if GST registered), an invoice number and date, and a due date.

2. Billed by / Billed to

Your details with PAN (and GSTIN if registered) on the left; your client's company name, address and GSTIN on the right.

3. Line items

One line per deliverable, with quantity (hours, days or units), rate and amount. Specific descriptions — “Landing page design, 2 revisions” — reduce back-and-forth.

4. Totals

Subtotal, tax lines if applicable, the total, and the total in words.

5. Payment details

Bank account, IFSC and a UPI ID — ideally a UPI QR for the exact amount. The easier it is to pay, the sooner you are paid.

6. Terms

Payment terms (for example, 15 days), late fee policy if any, and a short thank-you note.

Invoice numbering tips

  • Use a consistent prefix, such as your initials: RM-0001
  • Numbers must be unique and sequential — never reuse one
  • If GST registered, keep it within 16 characters
